Almost every company and business person stores the backup of all digital data as we can never rely completely on a single machine. Here, we will discuss how we can set up a local QuickBooks backup which is the bread and butter for QuickBooks bookkeeper and other accounting individuals.
QuickBooks has two types of automatic backups:
- Intuit Data Protect which is the online automatic backup on the basis of subscription.
- Local backup which refers to the automatic backup of data when we close the QuickBooks file after completion of accounting operations.
Here we will discuss how to create the local Quickbooks backup so that your data is being saved and backup is created for future reference. But if you are a beginner, it would be better to hire a qualified bookkeeper in Sydney to take care of this task. There are some rules that should be followed to set up the backup and these steps are to be repeated on a particular interval to maintain the backup. There is also an option of setting the automatic backup to a network drive and USB flash drive or any other drive.
Step 1: Open your QuickBooks application on your desktop and go to the ‘File’ option in the menu bar. Select the ‘Back up company’ option and then go to the ‘Create Locale Backup’ as shown in the screenshot below.
Step 2: Now, click on the ‘Backup Options’ and set the location where you want to save the backup files for future use. Click on the ‘OK’ button as shown in the image below. This operation is for manual and automatic backups only and for scheduling the backup, you have to customize the settings so that the local backup is scheduled for a particular time interval.

Step 3: Now, a new dialogue box will appear and you have to press the next button by selecting only scheduled future backups. After that, go to ‘Back up on a schedule’ and click on the ‘New’ button.
Now, as seen in the above image, a new pop-up window will appear and it will ask you where you want to keep your backup file. You have to check the first option and click on the ‘Finish’ button. Here, you can also restrict the backup to the number of times it is stored. By checking the checkbox and specifying the number of times, you can restrict the storage.
Step 4: Now the final step is to schedule your backup. As you can see in the screenshot below, a pop-up window is displayed. You just have to enter the details of the time and date when you want to schedule the backup which may be daily or in a week’s time. Set the credentials and your backup will be set.
