You can import MS Office Excel calendar data into outlook with a click of a button This data would consist of dates and times related to events, meeting, etc. you need to be reminded of. Follow the below steps to import your data into Outlook:
1. Correct the calendar:
First of all you need to check on the calendar on the excel sheet you’ve planned to import calendar data from. What you need to keep in mind is;
• The entries on the excel sheet are complete and the calendar is made outlook friendly.
• The data must have titles clearly written, like; start date, end date, time and subject.
• You mustn’t leave gaps between entries and see that they fall in connecting rows and columns.
• You can also add attendees to your sheet. Meet the data with a nearby column and name the column as “Required Attendees” Now add the email address of these attendees. The e-mail address should be separated by semicolons.
2. Name Range :
Your data on the excel sheet should have a name representing the calendar. It is easy to name your calendar.
• Select/highlight all the data on the calendar at once.
• Now go up and click on “Insert” then click on “Name” and then on “Define” right beside “Name”
• A pop up dialogue-box will appear before you.
• Click on the box and name the selection.
• Give a proper name you can remember.
• When you’re done, click on “OK” The calendar data is now ready to be imported into outlook.
The calendar discussed above has start date, end date, time and subject. This is the simplest form of a calendar apart from the attendees’ column. You can also add a limited other titles and they are:
• Billing Information and location
• Events and Categories
• Priority and Privacy
• Reminder date, time on and off
• E-mail addresses of organizers and attendees
• Mileage and meeting resources
• Optional and required attendees
• Meeting organizers
• Sensitivity and Show time as
• Meeting resources
These are the only titles outlook can import from an excel calendar. You have to edit the excel file accordingly before going forward with the export to outlook. Coming to the most important part, importing calendar data from excel to outlook. Follow these final clicks;
• Start Outlook and click on “Files”
• Scroll down “Import and Export”
• Now click on “Import from another program/file”
• Now choose MS Excel
• Select the Excel file you planned to import data from
• Recollect the name, of the calendar, you were supposed to remember.
• Choose that calendar and the work is done.
